Supporting information

In order to complete an assessment of your housing circumstances, we may request some supporting information from you.  The information requested may apply to you or anyone that is to be rehoused with you.

We may also need to see this or other information if your circumstances change.  It is important that you notify us immediately about a change in your circumstance so that your application form can be updated and reassessed.  You can do this by amending your on-line housing application form or by contacting the Common Housing Register Assessment team.

The information may also be verified by a partner landlord before an offer of accommodation is made.  The landlord will explain to you which information they need to see before they visit you.

Do not send in any supporting information to us unless asked to do so.

If you do not provide the supporting information when requested, this will result in a delay processing your application. Please do not send original copies of documents as copies will be accepted providing they are of good quality.

The reasons we may ask for the supporting information is listed in the table below.  This is not an exhaustive list and the type of information required may vary from person to person based on your circumstances.  We will decide if the information that has been provided is satisfactory or whether further information needs to be provided.

 

1. Identity

One proof confirming the identify for you and anyone aged over 16 years old moving with you:

  • Current, valid full passport (certified copies must show nationality, place and date of birth, passport number, expiry date, photograph and signature) or identity card;
  • Current, valid full UK photo-card driving licence with signature;
  • Current, valid UK photo-card provisional licence;
  • Armed Forces ID Card;
  • Firearms certificate or shotgun licence;
  • HM Revenue & Customs (Inland Revenue) tax document e.g. tax assessment, statement of account, notice of coding. It must contain your full name and current address (P45s and P60s are not acceptable);
  • Notification letter from the Department of Work & Pensions confirming the right to benefits or state pension.

2. Address

One proof confirming the current address dated within the last three months, for you and anyone aged over 16 years old moving with you:

  • Household utility bill (e.g. gas, electric, water or fixed line telephone but not a mobile phone bill).
  • Current, valid full UK photo-card driving licence with signature;
  • Bank, building society or credit card statement;
  • Council Tax bill (valid for the current year);
  • Solicitor’s letter confirming recent house purchase or land registry confirmation (in this case, proof of previous address will also be needed);
  • HM Revenue & Customs (Inland Revenue) tax document e.g. tax assessment, statement of account, notice of coding. It must contain your full name and current address (P45s and P60s are not acceptable);
  • Notification letter from the Department of Work & Pensions confirming the right to benefits or state pension.

3. Immigration Status

Where requested, proof confirming the current immigration status for you and anyone aged over 16 years old moving with you:

  • Current, valid full passport (certified copies must show nationality, place and date of birth, passport number, expiry date, photograph and signature) or identity card;
  • Documentation from the Home Office showing immigration status;
  • UK Birth / Adoption Certificate.

4. Children aged under 18 years old

  • Child Benefit award notification letter from HM Revenue & Customs;
  • Child Tax Credits award notification letter from HM Revenue & Customs;
  • A bank statement showing the Child Benefit being paid into your account.

5. Overnight access to children aged under 18 years old

  • Confirmation of overnight access and the frequency from the child/children’s legal guardian (the Council will write to them);
  • A court order detailing access information;
  • Child Benefit award notification letter from HM Revenue & Customs;
  • Child Tax Credits award notification letter from HM Revenue & Customs;
  • A bank statement showing the Child Benefit being paid into your account.

6. Fostering carer

  • A notification letter from Caerphilly CBC Children’s Services.

7. Local Connection – close relatives resident in the borough

  • Written confirmation from the relatives of the relationship to the applicant and the time resident in the borough (the Council will write to relative).

8. Local Connection – permanent employment in the borough

  • Current wage slips;
  • Existing contract of employment;
  • A confirmation letter of offer of employment;
  • A letter from employer.

9. Local Connection – near to specialist medical / support services

  • A letter from consultant, GP or other medical professional (the Council will write to them);
  • A letter from support service (the Council will write to them).

10. Local Connection – Serving/former member of the British Armed Forces

  • A confirmation letter from the Ministry of Defence stating that the applicant is currently a serving member of the British Armed Forces;
  • A letter from the Ministry of Defence confirming date of discharge.

11. Local Connection – bereaved spouse/civil partner of former British Armed Forces personnel

  • A letter from the MOD or Service Personnel & Veterans Agency confirming details of bereavement.

12. Local Connection – a serving / former member of the British Reserve Forces affected by serious injury, medical condition or disability

  • A letter from the Ministry of Defence confirming that the applicant is currently a serving or former member of the British Reserve Forces who has a serious injury, medical condition or disability;
  • Proof of previously residency (see Address for examples of types of proof).

13. Former or current social housing tenant

  • A tenancy reference report (the Council will write to the landlord).

14. Home ownership

  • Title Deed;
  • Solicitors letter;
  • Mortgage statement;
  • Land Registry search;
  • Proof of current market value (a letter from an estate agent or solicitor);
  • Where the property has been sold, a copy of the sale completion statement from your solicitor.

15. Proof of financial difficulties – mortgage arrears

  • Current mortgage statement;
  • Letter from mortgage provider;
  • Letter from the Court.

16. Disrepair in private sector

  • A copy of a Demolition Order;
  • A copy of the Prohibition Order;
  • A copy of a Clearance Area notice;
  • A report from the Environmental Health team (Housing).

17. Divorce / Civil Partnership Dissolution

  • A copy of the decree absolute or final order;
  • A dissolution or separation order.

18. Separation (non marriage or civil partnership)

  • Notification letter from the Department of Work & Pensions confirming the right to benefits as a single person;
  • Confirmation in writing from applicant that relationship has broken down;
  • Letter from support agency.

19. Domestic abuse

  • Supporting information from the Police or support agency

20. Fleeing violence/neighbour issues

  • Supporting information from the Police or support agency;
  • Report from social landlord.

21. Discharge from British Armed Forces

  • A letter from the Ministry of Defence stating that applicant is currently a serving member of the British Armed Forces and their date of discharge.

22. Medical or mental health condition or disability

Applicants are required to complete relevant sections of the housing application from.  If further information is required the council may accept supporting information provide by the applicant from or contact the following:

  • The GP;
  • The Consultant;
  • Social services;
  • Support agency.

23. Child protection

  • A report will be requested from the child’s/family’s social worker.

24. Capital assets/savings

  • Title Deed;
  • Solicitors letter;
  • Current mortgage statement;
  • Land Registry search;
  • Last 3 months bank statements showing all transactions;
  • Last 3 months savings account statements showing all transactions;
  • Dividend statements, certificates of bonds, unit trusts, stocks and shares etc.

25. Unspent criminal convictions or pending court cases

  • Report from Police;
  • Disclosure and Barring Service certificate;
  • Letter from a probation officer.

26. Extreme financial hardship – welfare reform

  • Completed financial assessment provided by the applicant’s landlord (applies to social housing tenants only).

27. No Fixed Address

  • A confirmation letter from the Department of Work & Pensions;
  • A letter of support from an employer;
  • Confirmation from HM Revenue & Customs or a chartered accountant (self employed people only);
  • A confirmation letter from the homelessness team.

28. Homelessness or Threatened with homelessness

  • A confirmation letter from the homelessness team;
  • A s.66, s.73 or s.75 letter from the homelessness team.

29. Move-on from supported accommodation

  • A recommendation letter from a support worker that you are ready to move-on from supported accommodation (the Council will write to the support worker).

30. Pregnancy

  • A maternity certificate (MAT B1);
  • A letter from your doctor or midwife confirming when the baby is due.

31. Prison leaver

  • Prison discharge papers, release letter or equivalent.
